Overview
While the exact specifics of an Operations Manager's role will differ from company to company, in essence they are responsible for finding ways in which the company can become more productive. In a broad sense, the Operations Manager accomplishes this goal by seeking efficiency in various business operations. This is a wide purview, and leads to many Operations Managers being ‘jacks of all trades'.
Skills
The Operation Manager must have excellent analytical and problem-solving skills. They must have a deep understanding of the core business of the company and avenues for growth. Due to their broad set of responsibilities they must have excellent time-management and prioritisation abilities. They liaise with a large number of diverse staff and so must be able to communicate effectively both verbally and in writing. They must be confident with financial data analysis and budget planning.
Logistics Management
Operations Managers are responsible for ensuring that the equipment used by the company to produce its products and services is adequate for the task. This includes purchasing, inspection, maintenance and repair. The Operations Manager will also liaise with quality assurance staff on the final products and customer satisfaction. The supply chains and purchasing of raw materials is another area in which the Operations Manager will ensure that business is efficient and effective. They must manage and control inventory both in terms of raw materials and finished product, including warehouse management. They must ensure that all elements of the supply chain and production are coordinated and working together effectively.
Human Resources
The Operations Manager must strategise for the effective use of human resources. They must assess staff requirements and organize recruitment of appropriate personnel. They must monitor staff performance and evaluate employee efficiency.
Work Environment
Operations Managers generally seek to provide a work environment that lends itself to productivity and efficiency. This often involves meeting with employees to hear grievances and institute policies, as well as seeking feedback on policies and procedures. They must ensure that all employees are aware of policies and are adhering to them. This may involve design and implementation of training and assessment.
Budget Management
The Operations Manager will supervise the use of the operating budget of the company. By being aware of current expenditure the Operations Manager can accurately plan future purchases and review past expenses. The Operations Manager will consult with logistics on their requirements and liaise with the financial department to approve purchases. The Operations Manager must assess financial information in order to make savings and increase income such that the company achieves maximum productivity. This may require long-term strategy and implementation.
Outside Relationships
The Operations Manager is responsible for ensuring that procedures and policies relating to third party services are followed. They must be sure that formalities are completed ad that the most effective third party providers – i.e. security, IT consultants – are contracted with.
Support Service Management
Support services, such as IT, HR and finance are essential for the smooth running of a business. The Operations Manager is responsible for the smooth integration of these services with the production and delivery of products and services. The Operations Manager may be involved in formulating strategies for the optimum use of these personnel.
Strategy
The Operations Manager has a vital role in determining the overall operational strategy of the business. In addition to maximizing the efficient use of resources, the Operations Manager must advise on the necessary equipment that must be purchased and may be required to liaise with top management on strategic plans for various operations. They must implement the operational plans of top management.
